Privacy Policy

1. About this policy
This policy explains how Property Avenue Pty Ltd (ABN 11 638 665 424), trading as Balancd (“Balancd”, “we”, “us”), collects, uses, shares and protects personal information. It covers our website, our waitlist and the Balancd service.
We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs) in that Act.
2. What we collect
When you join the waitlist
The waitlist form asks for:
- your name
- your email address
- the kind of work you do
- your business structure, such as sole trader or company.
We also record that you read this policy, the version of the wording you saw, and the date and time you joined, so we can show when and how you agreed to hear from us.
When you visit our website
Our website uses only the cookies it needs to work, such as the ones that keep you signed in. Section 4 explains them.
When you use Balancd
We collect what we need to keep your books: your contact details, your business details (such as your ABN, business structure and whether you are registered for GST), the bank statements you upload, the receipts and invoices you send or forward, the invoices you send your own customers and their contact details, and the categories and answers you give.
If you connect Gmail or Outlook, we collect the emails that look like receipts or invoices, and their attachments. If you send receipts on WhatsApp, we collect the photos and files you send and your phone number. If you connect Xero, we collect the records needed to keep Balancd and Xero in step.
Sensitive information
We do not ask for sensitive information. A receipt can sometimes show it, such as a pharmacy or medical receipt. We handle anything like that only to keep your books, the same as any other receipt.
3. How we collect it
We collect personal information:
- directly from you, when you fill in a form, sign up, upload a statement, send us a receipt or contact us
- from Gmail or Outlook, when you connect your mailbox
- from WhatsApp, when you message Balancd
- from Xero, when you connect it, with your permission.
5. How we use it
We use personal information to:
- tell you when it's your turn to start, and about important changes such as the price, if you joined the waitlist
- set up and run your account
- read your receipts and statements, suggest categories, and work out your figures
- send invoices and reminders to your customers when you ask us to
- keep Balancd secure
- respond to your questions and requests
- meet our legal obligations.
We don't sell personal information, and we don't share it with anyone for their own marketing. We don't use your receipts, statements or emails to train AI models.
6. Gmail and Outlook
To find receipts, Balancd needs permission to read your email. It only opens emails that look like receipts or invoices, and keeps only those. It never stores anything else from your inbox. People at Balancd do not read your email unless you ask us to fix a problem or the law requires it.
Balancd's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
We use Gmail and Outlook data only to find and keep your receipts and invoices. We do not use it for advertising, and we do not use it to train AI models.
You can disconnect Gmail or Outlook at any time in Balancd. You can also remove our access in your Google account or your Microsoft account settings.
7. AI and automated decisions
Balancd uses artificial intelligence (AI) to read your receipts, statements and emails, to suggest a category for each payment, and to answer questions about what is in your records. The AI never does the maths: every total and every GST figure is worked out by fixed rules, and Balancd shows the receipts behind every number.
What a person decides
You confirm each category before it is used. Balancd only remembers a supplier when you tell it to.
What Balancd then does on its own
- sorts later receipts and payments from a supplier you told it to remember, the same way you sorted the first one
- suggests which bank payment a receipt belongs to.
You can see and change any of these at any time. Balancd does not give tax advice and never lodges anything for you.
Personal information the AI uses
The receipts, statements and emails you give us, and the categories and answers you have given before.
9. Overseas disclosure
Your receipts and account data are stored in Australia. Most of our service providers are in the United States, so some information is processed in, or accessed from, the United States: for example, a receipt being read by our AI provider, or an email being sent. Some providers may also use servers in other countries.
We stay responsible for how these providers handle the information we send them.
10. Emails and messages
If you join the waitlist, we email you when it's your turn, and before then only if something important changes, such as the price. Every email identifies Balancd and includes a way to unsubscribe. You won't need to log in or give us more details to unsubscribe, and the option keeps working for at least 30 days after each email. We act on unsubscribe requests within 5 business days, as the Spam Act 2003 (Cth) requires.
Messages Balancd sends you on WhatsApp are replies about the receipts you send. Invoices and reminders Balancd sends your customers come from your business, on your instruction.
11. Storage and security
We store personal information electronically, in our own systems and with the service providers listed in section 8. We take reasonable steps to protect it from misuse, interference and loss, and from unauthorised access, change or disclosure. Access is limited to the people who need it, and information is encrypted when it is sent and when it is stored.
We keep waitlist details until you ask us to delete them or we close the waitlist. If you unsubscribe, we keep your email address on a do-not-contact list so we don't email you again.
We keep your books while you have an account. The law asks businesses to keep their records for 5 years, so download your records before you close your account. When you close it, we delete your data or de-identify it, apart from records the law says we must keep.
12. Data breaches
If a data breach is likely to cause serious harm to anyone whose information is involved, we'll notify them and the Office of the Australian Information Commissioner (OAIC), as the Notifiable Data Breaches scheme in the Privacy Act requires.
13. Access and correction
You can ask for a copy of the personal information we hold about you, or ask us to correct it, by contacting us (see section 17). We won't charge you for making a request. We'll respond within a reasonable time, usually within 30 days.
If we refuse a request, we'll tell you why in writing, unless that would be unreasonable, and explain how you can complain.
14. Staying anonymous
You can browse our website without telling us who you are. To join the waitlist or use Balancd, we need your name and contact details.
15. Complaints
If you think we've mishandled your personal information, contact us first (see section 17) and tell us what happened. We'll look into it and respond within 30 days.
If you're not satisfied with our response, you can complain to the OAIC at oaic.gov.au or on 1300 363 992.
16. Changes to this policy
We'll update this policy when our practices change and post the new version on this page. If a change is important, we'll email you before it takes effect. The date at the top shows when it was last updated.
